When equipment fails, a clear replacement enquiry helps a supplier identify the requirement without repeated requests for missing information. The priority is to establish the exact component, its role and the deadline.

Why Good Information Speeds Up a Breakdown Response

A replacement enquiry has two separate questions: what has failed, and what can replace it? The first concerns diagnosis; the second concerns compatibility and availability. Combining them too early can lead to ordering a component that fits the description but does not resolve the problem.

For example, a drive displaying an overcurrent fault is reporting a condition. The maintenance team still needs to establish its cause. Recording when it happens—during starting, steady operation or stopping—gives more useful context than saying the drive is broken.

Three Layers of Replacement Compatibility

Think of compatibility in three layers. Physical compatibility covers mounting, dimensions and connections. Electrical compatibility covers supply, current and signal types. Functional compatibility covers communications, configuration and the machine’s operating sequence. An exact-looking spare may still require version checks; an alternative may need changes in several layers.

The fastest useful enquiry therefore combines an exact label photograph with a short description of the task and the observed symptoms. An urgent deadline helps plan delivery, but it cannot replace those checks.

Example: A Drive Trips During Starting

A reported trip during starting gives useful context, but it does not establish that the drive itself has failed. Send the exact fault code, motor label and existing drive code. If the maintenance team confirms that a replacement is needed, those details let the supplier assess the correct variant instead of quoting from the kW rating alone.

Send These Details First

  • Equipment: manufacturer and complete model number, including suffixes.
  • Photographs: clear label images and any safely accessible identifying details.
  • Fault: symptoms, displayed fault code and when the problem occurs.
  • Quantity: how many units are required.
  • Destination: delivery town and country.
  • Deadline: the actual required date, rather than “urgent” alone.

If you only have a photograph, send it with a short description of what the equipment operates. Do not guess an incomplete model number from memory.

Photograph the Full Label

Series names and headline ratings may describe several different variants. Capture the complete order code, voltage ratings and any hardware or firmware version shown.

Where relevant, include labels on option cards, connected motors or other associated components. Photographs must be taken only where safe and authorised; information inside electrical equipment should be collected by the responsible technician.

Describe the Symptoms Without Assuming the Cause

Explain whether the equipment fails to power up, trips during starting, loses communications or stops during operation. Include the exact displayed fault code and any recent changes reported by the maintenance team.

A fault indication is useful information, but it does not by itself prove which component needs replacement. Diagnosis should be handled by the responsible technical team before an order is finalised.

For a VSD, Include the Motor and Load

Send the motor nameplate, incoming supply and complete existing drive model. Explain whether it operates a pump, fan, conveyor, mixer or another load.

Mention fitted communication or feedback modules, braking equipment and relevant control requirements. A replacement with the same kW rating may still differ in electrical capacity, mounting or functionality.

For Automation Equipment, Check the Project Files

For a PLC, HMI or I/O enquiry, provide the full equipment codes, required signals and communications. Tell us whether original software, project files and configuration backups are available.

Existing programs, cables and configuration must not be assumed compatible with an alternative. Hardware supply and the work needed to restore the machine should be assessed as separate scope items.

Exact Spare or Assessed Alternative?

State whether the original code is mandatory or whether your technical team can consider an alternative. An alternative may require changes to mounting, wiring, software, communications or configuration.

A newer model or similar-looking component is not automatically interchangeable. Allow the responsible team to verify the proposed equipment against the complete requirement.

Include Environment and Mandatory Approvals

Mention outdoor exposure, dust, heat, washdown, chemical contact or a classified area. Share any project specification that restricts the acceptable model or approval.

Urgency does not remove these requirements. A standard product must not be assumed suitable for a hazardous area or a safety-related function without verification.

Separate Availability From Delivery

Request confirmation of the exact model, availability and applicable delivery estimate. A website listing does not guarantee immediate stock or same-day delivery.

Include the destination and deadline early so the quotation can address the actual requirement. If the original item is unavailable, a proposed alternative still needs compatibility assessment before ordering.
